You will be supporting our business by being responsible for:

Executive Support

  • Assists the CEO and executive team members with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments
  • Completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings
  • Acts as a knowledgeable, reliable and discreet point of contact among executives, employees, clients and other external partners
  • Schedule meetings and appointments and manage travel itineraries
  • Drafts presentations, letters,…; prepares and coordinates oral and written communication
  • Translates various internal/external documents into English/Dutch
  • Maintains confidential files and contact information
  • Manages databases and filing systems (f.e. Corporate Records portal)

Board Support and Liaison

  • Serves as the Company Secretary’s administrative liaison to the Board and manages Board activities, which include coordinating semi-annual Board meetings and dinners
  • Arranging hotel accommodations; and distributing Board meeting materials

Office management

  • Manages the ordering of office supplies for the employees (office commodities, soft drinks, snacks …)
  • Intervenes with the travel agency in case of problems concerning travel requests of our employees
  • Is responsible for the organization of the reception desk
  • Provides assistance as needed to front desk operations to include but is not limited to, answering phones, accepting package and other deliveries, lunchtime relief, and greeting and signing in visitors/guests
  • Coordinates a day-to-day maintenance and/or the reparation works with the owner of the building (TCR BE)
  • Controls/approves invoices from suppliers

As a Personal Assistant you provide executive and administrative support to the CEO and Executive Team members

You are the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO

The Personal Assistant serves as a liaison to the Board and Senior Management Teams, organizes and coordinates executive outreach and external relations efforts; and oversees special projects

For this position, we are looking for a highly motivated colleague who loves a fast-paced environment and international contacts. Next to this you are a talent in organisation and administration

The Ideal Candidate:

  • Holds a bachelor degree or has relevant experience
  • Typically has 2 to 5 years of experience in a similar function
  • Remains friendly and is stress-resistant in this multi-tasking job
  • Communicate effectively with colleagues, customers, etc
  • Is customer oriented and discrete
  • Is solution driven, assertive, and approachable
  • Proficient knowledge of MS Office
  • Has strong interpersonal skills and ability to collaborate with people from various backgrounds
  • Is fluent in English and Dutch – both spoken and written, French and/or any other language is a plus
